Features

Everything a repair shop does, in the order it does it.

One ticket moves through ten states, from Intake to Closed, and the server refuses any move the state machine does not allow. Here is each step, the screen you use for it, and what is not built yet.

Step 1 · Intake

Type the phone number. The customer fills in.

Returning customer? Name and email appear with their ticket count. Add the device and the fault and the ticket is on the board with a ref the counter can read out. The signature is captured on screen when they drop off or collect.

  • Customer matched by phone or email, so no duplicate records
  • Short refs with your own prefix; type or scan one and the ticket opens
  • Device, fault and internal notes on the ticket; the customer portal shows status only
  • Front of house can take a ticket in and take payment; approving a quote needs a manager
  • Photos on the ticket are not built yet
Step 2 · Diagnosed → Quoted → Approved

Parts and labour price the quote. The yes is recorded.

Add parts and labour lines and the ticket totals itself with your VAT rate. Move it to Quoted, then to Approved when the customer says yes. A rejected quote goes back to Diagnosed, not to the bin.

  • Totals from parts and labour, with your VAT rate
  • Parts at your stock price; labour as hours at a rate
  • Approval is a permission: front of house cannot grant it
  • The server refuses any move the state machine does not allow, so nobody skips from Intake to Ready
  • Sending the quote to the customer by link, with a card deposit, is built but not switched on yet
Step 3 · In repair

On the bench, every move is on the timeline.

The technician works from the ticket: parts used, labour hours against a rate, internal notes. Every status change, note and signature is written to the timeline with who did it and when, and the same record goes to the audit log.

  • Labour lines: hours at a rate, totalled
  • Every status change, note and signature on the timeline, with who and when
  • Roles enforced on every action: technicians cannot refund, front of house cannot approve quotes
  • Store-confined staff see only their own store's tickets
  • Taking stock off the shelf from the ticket is next
Step 4 · Ready → Collected

Ready. Collected. Signed. One click each.

Move the ticket to Ready when the bench is done and to Collected when they pick it up. Their signature sits on the ticket. The day after collection, one polite email can ask for a Google review and link to your own profile. Switch it on in settings with your review link.

  • The picker offers only the legal next states, so nobody skips a step
  • Signature captured on screen at collection and stored on the ticket
  • Customer portal shows status and history without a phone call
  • Review request the day after collection, to your own Google profile, opt-in
  • Text message updates are not switched on yet
Step 5 · Take payment

Cash or card at the till. Stock moves on the sale.

The till is in the same tab as the ticket. Scan or type to add products, take cash or card, and stock comes off the right store's shelf on the sale. Card payments go through Stripe at Stripe's rates with nothing added.

  • Cash with the change worked out, or card through Stripe
  • Stock decrements per store on the sale
  • Scan a barcode or type a SKU and the product is in the cart
  • Gift cards and store credit on their own ledger
  • Mixed tenders, refunds from the till and the end-of-day Z-report are not built yet
Step 6 · Invoiced → Closed

Invoice it. Close it. Hand the accountant a clean CSV.

Raise the VAT invoice for the ticket, record the payment, and the ticket moves to Invoiced, then Closed. Reports show revenue and margin, top products, repairs by technician and the money sitting in stock.

  • Estimates and VAT invoices; payments recorded against them in part or in full
  • Reports: revenue and margin, top products, repairs by technician, stock value
  • Invoices, sales, tickets, customers and stock: one CSV each, one click
  • Everything as one JSON file, any time, even on a lapsed account
  • Xero sync is not built yet

Also in the box.

Everything else the dashboard does today. Where a feature exists on the server but has no screen yet, it says so.

Inventory

Parts and accessories with cost, price, SKU and barcode. Low stock is flagged at the reorder point you set. Stock is held per store and moves on every sale.

Purchase orders and suppliers

On the server today: a purchase order moves from draft to sent to received and books stock into a store on receipt. The screens for suppliers and orders are next.

Multi-store

Every store on one account. Staff are confined to theirs; owners and managers see everything. Stock and sales are recorded against the store they happened in.

Team and roles

Owner, manager, technician, front of house. One permission matrix, enforced on the server for every action and read by the interface, so a button you cannot use is not shown.

Time clock

Clock in and out from the dashboard. Managers see the whole team's entries and total hours.

Commissions

Percent or flat, by repair, product sale or service, per technician or shop-wide. Accrued and unpaid totals per person, ready for payroll.

Gift cards and store credit

Issued and redeemed on their own ledger, so the till and the books agree.

Trade-ins

Bought in, resold out, profit on the record. The VAT margin scheme is not built yet; the figures your accountant needs are.

Appointments

A diary for booked-in repairs, so the bench knows what is arriving.

Customer portal

Customers sign in with an emailed link to see status and history and sign the work order. No account to create, no password to forget.

Printing

Receipts, work orders and labels on Star and Epson CloudPRNT, Dymo and QZ Tray, with cash-drawer kick. Set up with you.

Barcode and QR scanning

Any keyboard-wedge scanner. Scan a ticket ref and the ticket opens; scan a barcode at the till and the product is in the cart.

Outbound webhooks

A signed POST for ticket, sale, appointment and invoice events, to Zapier, Make or your own stack. Every delivery carries an HMAC signature you can verify.

Audit log

Ticket moves and the actions that matter, who did them and when, readable in the dashboard.
